Priority Matrix is an effective tool for managing tasks and projects, making use of a quadrant-based framework to prioritize your workload. However, sometimes tasks may be marked as completed prematurely, or you may simply wish to revisit completed items. In this guide, we will show you how to find completed items in Priority Matrix and then mark them as incomplete.

Step 1: Accessing the Filter View

The filter view feature in Priority Matrix gives you the capability to show all tasks or just specific ones, based on their current state and other criteria.

  1. Open your Priority Matrix application and select the project where you accidentally marked an item as complete.
  2. Locate the filter view button at the top of the matrix.
  3. Click the filter view button to access different filtering options on the right-side panel.

Step 2: Adjusting the “Filter by State”

After opening the filter view, you have to adjust the “Filter by State” setting to either “All Items” or “Finished Items” to show tasks that have been marked as complete.

  1. In the filter view, find the “Filter by State” dropdown menu.
  2. Click on it to open the list of available filtering options.
  3. Choose either “All Items” to show every task regardless of its state, or “Finished Items” to display only those tasks that have been marked as complete.

Step 3: Locating the Completed Item

Now that your filtering option is set, it’s time to locate the item that has been marked as complete.

  1. If you selected “All Items”, you’ll have to manually look for your completed item among other tasks. Completed tasks are typically indicated with a check mark or strikethrough.
  2. If you selected “Finished Items”, your view should only include completed items, making it easier to find the particular task you’re looking for.

Step 4: Marking the Completed Item as Incomplete

Once you’ve located the completed item, you can mark it as incomplete.

  1. Click on the completed item to open its details.
  2. Locate the “completion percentage” setting. This is usually indicated by a progress bar or a percentage figure.
  3. Set the completion percentage to less than 100%. This will mark the item as incomplete.

Remember, if the item is set to 0%, it will be considered as “not started”. If it’s set anywhere from 1% to 99%, it will be seen as “in progress”.
