Attaching Emails to Tasks
Using Priority Matrix for Outlook
- Install the Priority Matrix for Outlook add-in
- Open your email in Outlook
- Look for the Priority Matrix panel on the right
- Find your target item in “Recent Items” or “Similar Items”
- Click the upload icon to attach the email
Storage Options and Implications
You have two ways to link emails to Priority Matrix tasks:
1. Full Email Attachment (Recommended)
- Pros:
- Guaranteed access to email content
- Independent of original email location
- Preserves all attachments
- Cons:
- Requires downloading to view or reply
- Takes more storage space
2. Email Link to OWA
- Pros:
- Saves storage space
- Direct access to live email thread
- Cons:
- Link breaks if email is moved or deleted
- Requires active Outlook access
Working with Email Attachments
When you need to reply to an email attached to a Priority Matrix task:
- Open the task containing the email
- Download the attached email file
- Open in your email client to reply
Best Practices:
- We recommend fully attaching emails rather than just linking
- Use the Outlook add-in’s thread detection to keep related emails together
- Consider storage implications when deciding what to attach
Email Threading
The Priority Matrix Outlook add-in automatically manages email threads:
- Detects related emails in the same thread
- Shows links to existing PM items for thread messages
- Helps maintain context and organization
