Priority Matrix in the Healthcare Field

Arline Kirkus
Practice Administrator

Leawood Pediatrics is an award-winning, family-oriented pediatric office based in Kansas. They provide outstanding medical care to their patients through their commitment to personalized and comprehensive care. We heard from Arline Kirkus, the Practice Administrator at Leawood Pediatrics. Arline earned her Master’s Degree in Medical Group Management and has over 10 years of experience in the field. In this case study, Arline shares how she uses Priority Matrix to stay on top of team projects and ensure her team can provide outstanding medical care to Leawood’s clients.

Before using Priority Matrix, Arline kept track of her tasks using Outlook, Onenote, and a notepad. However, she faced frustrations in:

  1. Keeping track of to-dos in multiple places resulting in confusion
  2. Remembering annual recurring tasks
  3. Monitoring items that had been delegated

Arline and her team use Priority Matrix to:

  1. Manage Multiple Projects: Arline keeps a “priority list“ of projects that has every project listed by urgency
  2. Delegate: within each individual project, Arline lists all tasks with due dates and delegates each to the correct owner
  3. Communicate: Before the week starts, Arline sends the \\\\\”master list\\\\\” to Leawood physicians with upcoming tasks that will be worked on through the week

After integrating Priority Matrix into her team’s workflow at Leawood Pediatrics, Arline says, “I spend 50% less time trying to organize my to do list. I spend less than 30 minutes updating it to be accurate [and] I can quickly determine what items can be delegated and can send those with 75% less effort. I am able to check on status of projects in less than 5 minutes.”

Arline says, “I feel like I am
well organized— and if I
can feel that way, everyone
can feel that way!!”

Priority Matrix is the single most used application because of its power and flexibility to both organize and track large volumes of activities and tasks. It has powerful functionality in a simple package that actually reduces the effort required, and unlike other applications, doesn’t require tedious interaction that takes away from actual execution. I love the fact that all tasks put into using PM can easily be communicated and shared with colleagues and clients through a variety of flexible methods. It’s effective all the way through.

We use Priority Matrix on a daily basis. As a small and quickly growing company, our team members are wearing many hats and often pulled in several different directions. Shared projects bring transparency to everyone’s weekly priorities and have eliminated the ‘last in, first priority’ issue with emails. Personal projects help us break down day-to-day tasks, so we’re always focusing on only the most important goals for the day.

A very useful tool for team meetings when we discuss progress on tasks – the ability for anyone in the team to update and sync with all others in real time, is great. I use it to generate quarterly performance reports to the senior exec and the evidence of tasks completed is also used in performance management discussions with individual members of the team. It’s a more elegant and efficient way to manage work flows.
