Learn how Molly Richardson decided on Priority Matrix, and how it helps her:
- Manage competing priorities across multiple departments
- Quickly understand what her team is working on
CHALLENGE: Small Team, Competing Priorities
At our company, we have competing priorities in terms of product sales, digital sales, and content. We also have a small team, so when you have a small team and a bunch of different competing priorities, it is really hard to decide what we should be focusing our time on. For example, you have eight hours today, what tasks do you do?
How Reset360 Manages with Priority Matrix
When using Priority Matrix, Molly and her team split up priorities based on the initiatves that they relate to. So, for example, when the CEO is working on a project, he can quickly bring in people to help him finish things up. As another example, the marketing team has a project dedicated to their Facebook Ads and funnel optimization.
Molly notes that at Reset360, all of their team members are given access to view Priority Matrix projects from all departments. This makes it quick and easy to organize information where it belongs, and identify what’s high priority for the company as a whole, as well as on a departmental basis.
Priority Matrix is where all of the tasks everybody is working on are consolidated with deadlines. It did give us an easier way to know who was working on what without having to request that information.
Why Priority Matrix?
At Reset 360, it took Molly some time to find the right project management solution. Before Priority Matrix, Molly tried a number of other task management tools. As a matter of fact, before trying Priority Matrix, she tested Trello, Teamwork, and Asana.
However, none of them were the right fit due to the fact that it was too difficult and time-consuming to input tasks, which meant that the cost of using these systems actually outweighed the benefit. In Teamwork, for example, she had to manually change the priority level of each task. In Priority Matrix, she can do so with a simple drag and drop. As she puts it, “you do not have time to put all of these tasks into a system for nobody to look at.”
For Molly, Priority Matrix stands out because it is easy to enter tasks, and prioritization is an integral part of the system. She notes: “In a small company, you never run out of tasks. The key is which ones to do and when.”
Here’s what she has to say about Priority Matrix:
We really like Priority Matrix because it is really easy to add tasks and prioritize them.
Priority Matrix is helpful for a manager of a small team with a lot of projects and competing priorities to make sure their team is all on the same page and moving along autonomously towards their business goal.
Molly’s Favorite Priority Matrix Features
- Automated Status Reports: “I like the reports on Priority Matrix because you can see quickly what you should be working on, what you did work on, and what other people are working on. As a manager, this is important.” (Click here to learn more about Priority Matrix reports)
- Daily ‘Summary’ Emails: “I get emails that sum up what has been done today and what should be done for tomorrow, and they break it down by what you should be working on. I really like those. Those really help me for the next day.“
How Priority Matrix Provides Value
Priority Matrix provides value to Molly and her team by helping them prevent situations in which high priority tasks may accidentally end up on the backlog, or slipping through the cracks.
“If it’s just sitting in a backlog and it could have been done a month ago, there’s an opportunity loss there”
Priority Matrix prevents this from happening by keeping high priority tasks front and center, while providing a space to store lower-priority items for the future.
Why Molly Recommends Priority Matrix
It’s an affordable, simple way to manage your small business priorities.
